Important Details for exhibitors at Miami Rum Fest and Trade Expo
FAQ
Limited Exhibit Space
Space in the north and south halls of the Woman’s Club venue is limited. Book early to assure you can secure your exhibit at the rum festival.
Load In and Set Up Times
Sunday Morning – All Exhibits
- Set up for exhibits takes place Sunday morning, November 12 at 9am.
- All exhibits must be completely set up before 11:30am. The show opens at 12:30pm. NO EXCEPTIONS!
Rum Consumption – Important
We generally calculate 100 samples (1/4 ounce) per bottle. Two ounces for a cocktail. So a minimum of 3 to 6 bottles would be suggested to sample 600 people. Of course not everyone can sample every rum, but these rum enthusiast attendees do sample many expressions during the event.
Ice Service
Ice is available throughout the show. The ice machines are in the kitchens. You must have your own cooler or some type of container to store your ice within your booth. Ice will not be bagged.
Electricity
is available in some exhibit areas if requested in advance. If you need electricity, please note that on your exhibitor application and speak to Robin about it.
Volunteers
Please remember: Volunteers are just that; they volunteer their time. They are not paid employees. Please treat them with respect at all times and let them know you appreciate their help.
Exhibitor Badges
In your Exhibitor Contract you will note that each six foot exhibit space is allowed one exhibitor badge, and double exhibit spaces are allowed two exhibitor badges.
Robin will submit the list of exhibit personnel to Complete Ticket Solutions, our ticket company, and they will have your badges printed and ready for pick up at the front ticketing area at the show Sunday at 11am.
Exhibitor Hotel Options
Rum Renaissance exhibitors are encouraged to consider the selected hotels for their accommodations.
Glassware
We provide ticket holders with a 4 oz tasting glass to reduce waste. You are allowed to use your own branded plastic serving cups.
For 1 oz clear plastic shot cups we recommend: http://www.apartysource.com/ss-01.html
Dump Buckets are provided for every exhibit space to encourage re-use of the official tasting glass.
Final note: Please remember to read your exhibitor contract.
